2010 Diversity Initiative

Project Assistant, TeamSTAR Project

The Project Assistant is responsible for providing administrative and support services to the TeamSTAR Project and TRG organizational development specialists by working collaboratively with Admin and Finance Team members and technical staff.   The Project Assistant reports directly to the TeamSTAR Project Director.   Information about the TeamSTAR Project can be found on our website: TeamSTAR Project Introduction (pdf)

The Project Assistant is expected to:

  • Bring a customer orientation to relationships inside and outside the organization,
  • Provide high-quality services and products to internal and external clients and look for ways to improve client services and products, and
  • Act as a conduit with clients and among the consulting staff to share resources and products that result from client work.

Primary areas of responsibility for the Project Assistant are:

Client Services --

  1. High-Quality Product Development
    • Maintain a high standard of quality control for custom client products, including technical reports and Organizational Development  Tips and Tools in electronic and hard copy form.
    • Develop country specific background information to support organizational development and training assignments overseas. Help develop, design, and produce project marketing materials for clients based in the US and Missions in the field.  Apply a creative eye and graphic design skills to custom materials. Ensure that materials reflect the needs and feel of the client and enhance the learning effectiveness of the event.
    • Apply editing, proofreading, and computer software skills to create, format, and update survey reports, newsletters and other documents.
    • Produce drafts of final reports, evaluation summaries.
    • Prepare presentation and briefing materials.
    • Provide research assistance to the OD Technical Advisor, Knowledge Management, M&E and OD Specialists.
    • Create flipcharts for courses or events.
    • In collaboration with the TRG IT staff and specialists, help maintain project websites for client use that include assessment instruments, summary report and evaluation data and OD tips and tools
  2. Project Staff Support
    • Act as a communication liaison between OD specialists  and clients.
    • Schedule meetings and interviews.
    • Assist in  a member of a larger project team and as appropriate, assist in data collection and interviews, data analysis, and reports of findings, including supporting survey development and implementation.
    • Support OD Specialists with travel logistics, report writing and trip documentation. 
  3. Event Delivery
    • Coordinate with project staff and OD specialists to plan logistics for off-site events.
    • Collaborate with staff and OD specialists in event design, including identifying creative ways to use graphics and information technology.
    • Provide on-site services including administrative assistance, coordinating and managing meeting venues, coordination of all participant arrangements, materials design and production, and management of the full range of “minute details” that contribute to a successful event.
    • During event delivery, capture participant responses on flipchart and/or electronically.
    • In collaboration with consultants, develop initial and/or final drafts of reports or proceedings from conferences and workshops.

General Operations Services – Serve as a resource to help manage the day-to-day operations of TRG and provide the highest level of customer service to internal and external clients.  This includes working collaboratively with the admin, business development, and finance teams on the projects the Project Assistant is supporting and in response to additional requests coordinated through the CEO. 

Requisite Skills/Experience

  • Intermediate computer skills in Microsoft Word, Power Point, Excel
  • Basic knowledge of Adobe Photoshop and Illustrator
  • The ability to prioritize, multi-task, effectively manage time, organize and work independently
  • Self-motivation and creativity
  • Willingness to learn and be flexible
  • Excellent communication skills
  • Superior client relations orientation
  • Presentation and facilitation skills
  • Problem-solving ability (contingency planning, thinking on one’s feet)
  • 3 – 4 years professional experience in an administrative and/or customer service position, preferably in a team-based environment

Finance and Administration Manager

TRG is currently seeking applications from individuals for a full time Manager of Finance and Administration for a 5-year US government-funded project.

The Manager of Finance and Administration works in close collaboration with the Project Director. Specific duties include:

  • Ensuring compliance with contract requirements and USG regulations including financial reporting;
  • Developing systems for dissemination of information within the project;
  • Working in close collaboration with TRG’s CFO to draft the project’s financial management procedures and ensure integration with TRG’s systems;
  • Developing the project’s internal audit plan each year and complying with contractual audit requirements;
  • Using TRG’s established systems to procure goods and services under this contract;
  • Developing and implementing procedures for administrative support of field activities including long-term staff based overseas;
  • Developing the project’s office and administrative procedures to ensure smooth functioning, including filing systems, office hours, staff travel, and supplies and equipment;
  • Creating a system for developing and monitoring budgets and preparing quarterly and annual financial reports;
  • Supervising administrative and financial staff.

Qualifications and Experience

  • Qualifications and demonstrated experience related to the administrative and financial management of USG contracts, preferably with overseas professional experience;
  • An advanced degree in Business Administration, Public Policy, Finance, or a related field;
  • Extensive international development experience, including at least three (3) years of experience working in the relevant field in developing and transitioning countries;
  • Extensive technical experience, including at least seven (7) years of experience in a management role for finance and administration;
  • Familiarity with USG financial and procurement regulations.

Compensation and Benefits

Salary will be commensurate with experience and salary history and will be contingent on US Government approval. TRG also has employer-paid health, life, and disability insurance programs, a flexible spending plan, annual bonuses, a profit-sharing program, an employer-paid pension plan and an employee stock ownership program. TRG also provides either on-site parking or a commuting subsidy. There is also a generous leave policy for vacation, sick time and holidays.
